Presentation Review How-To
We have put together a presentation review process that is designed for ease and efficiency. Speakers upload their presentations to their eShow speaker portal. Files will be transfered to a private Dropbox folder for collaborative review. Session managers provide constructive feedback and work with speakers directly to refine the content using Dropbox's commenting and version history features. Once the presentation is finalized, session managers notify ARMA staff of approval.Following is a step-by-step guide:
Step 1: Accessing Presentations for Review in eShow
Notification to Log Into eShow:
You will receive an email notification from speakers@armaintl.org when a presentation file is ready for your review. At your earliest opportunity, please log into your eShow account and access the Session Manager Service Center.
Access Dropbox Links:
Navigate to page Assigned Presentations for Review. This page will display the following information:
Top of the Page: Presentations that have been uploaded and are ready for review:

Bottom of the Page: A summary of all the presentations you are assigned to review:

This page is very similar to the dashboard page you utilized during the abstract review and rating process and is a great reference.
For the next step you are going to focus on the top of the page and the presentations that are ready for review.
In the table, the 3rd column from the left is labeled "Presentation;" this is where you will access a unique private link to the presentation file in Dropbox. This link is only shared with you and the speaker, allowing for collaborative review while maintaining the privacy and integrity of the documents.
Please note - there will be no need for you to use the Approved / Rejected buttons as the review itself will be conducted through Dropbox. Please disregard that feature.
Step 2: Reviewing and Collaborating on Presentations in Dropbox
Review for Quality and Compliance:
Open the presentation file with the shared link and carefully assess it for clarity, relevance to the session topic, and adherence to the Presentation Review Guidelines. Ensure the content aligns with the session’s objectives and is structured for audience engagement.
Provide Feedback in Dropbox:
Use Dropbox comments to leave specific, constructive feedback directly on the slides that require adjustments. We recommend that you do not edit the file directly. Clearly state what needs to be changed and why, so speakers can easily understand and implement revisions.
Monitor Version History and Track Changes:
To view the history of changes made to the presentation, click on the “Version history” option in the document. This will help you track revisions and ensure all feedback has been addressed.
Collaborate Directly with the Speaker:
Work collaboratively with the speaker by addressing questions and confirming updates within Dropbox. Encourage them to reply to comments or resolve them as changes are made to maintain a smooth review process.
How to Handle Major Revisions:
If major revisions are required - such as restructuring the presentation, adjusting key messaging, or reworking visuals - consider setting up a brief discussion with the speaker to align on necessary changes. Please reach out to ARMA for support in this situation if needed.
Finalize the Presentation Before Approval:
Ensure that all necessary edits are completed before approving the presentation. Double-check that feedback has been addressed, the final version is polished, and there are no outstanding issues.
Step 3: Finalizing and Approving
Approval:
Once the presentation meets all requirements and edits to your satisfaction, please send a brief email to speakers@armaintl.org to notify the ARMA staff of the presentation file approval. Upon receiving notice, ARMA staff will move the approved presentation into a different Dropbox folder for event use, and the link will no longer be valid. This will help ensure no further changes are made following your communicated approval.
