SPEAKER ONSITE RESOURCES

Thank you for speaking at ARMA Canada Information Conference 2024! We understand that preparing presentations take a considerable amount of time and energy and we appreciate your efforts to help us create a memorable event.

Now that the prep work is nearing completion, it is time to get ready to be onsite! We have put together the following information so that you know what to expect when you get to the Westin Calgary.

Mandatory Conference Registration Check-In 
Beginning Saturday, May 11, the Registration Desk will be open for you to check in, pick up your badge and address any questions you may have regarding your stay during the event. The hours are as follows below:
 
Location: South Foyer

  • Saturday, May 11:  8:00 AM - 5:00 PM
  • Sunday, May 12:  7:00 AM - 5:00 PM
  • Monday, May 13:  7:00 AM - 5:00 PM
  • Tuesday, May 14:  7:00 AM - 12:00 PM

 
Speaker Ready Room 
The Speaker Ready Room is a resource for you to utilize throughout the conference.  The Speaker Ready Room is in Barclay.

Some of the amenities include:

  • Tables you may use as a quiet workspace
  • Coffee and water

All speakers are asked to check in at the Speaker Ready Room in Barclay the day prior to their session, or earlier. This is to ensure that the correct PowerPoint presentation is on file and to submit any last-minute changes if necessary.

If you elect to not check in, please be advised that the latest version of your presentation uploaded into the speaker portal is the file that will be used.

The Speaker Ready Room hours are as follows: 

  • Saturday, May 11:  8:00 AM - 5:00 PM
  • Sunday, May 12:  7:00 AM - 5:00 PM
  • Monday, May 13:  7:00 AM - 5:00 PM
  • Tuesday, May 14:  7:00 AM - 12:00 PM

*The hours above are subject to change.

There will be no PowerPoint changes accepted on the day of your session. Please notify the conference education team at
speakers@armaintl.org if you need to submit a critical change to your PowerPoint presentation prior to the day of your session. Only the following changes will be accepted:

  • Change in law or regulation in which you are presenting on
  • An error in facts included in the presentation 

 
General Conference Expectations

  • Punctuality: Please arrive at least 15 minutes before your scheduled session.
     
  • Dress Code: Business casual attire is required for all speakers throughout the event.
     
  • Audio/Visual Equipment:
    • Each presentation room will be equipped with a projector, screen, wireless microphone, podium microphone and laptop computer. Your presentation will be loaded onto the screen in advance. Please do not bring any computers, cables, or extra equipment with you to your session. 
       
  • Session Format: Sessions are 60 minutes long, including Q&A. Please allocate sufficient time for audience interaction and questions.
     
  • Printing: Please pre-print any handouts or session materials prior to your event at your own discretion. A printer will not be available in the Speaker Ready Room.
